TRIBAL GOVERNMENT
POSITION: Secretary/Receptionist
LOCATION: Emergency Management Department
HOURS: 40 hours per week
WAGE: Grade 9
POSTED: 5-7-08
CLOSING: 5-20-08
QUALIFICATIONS:
- Must have previous work experience in an office setting.
- Must have valid driver’s license and proof of insurance.
- Experience in general office procedures, such as, typing, filing and basic computer skills (Word, Excel).
- Must be able to operate photocopiers, fax machines, and other office equipment.
- Must have good organizational skills.
- Must be able to work with public in a positive friendly manner.
- Must adhere to all FCP Personnel Policies and Procedures and Emergency
- Management Policies and Procedures.
- Must be willing to work with staff in a friendly, cooperative, team oriented setting.
- Must be dependable and able to work independently.
- Confidentiality a must.
RESPONSIBILITIES:
- Maintain filing system, including Stellent System, retrieve file as requested by staff.
- Write letters, memos and newsletters, etc. as requested by staff.
- Complete purchase orders and check requests for staff.
- Data entering such as, invoices, requisitions, trainings, etc.
- Prepare mailings, collect out going mail to take to Executive Building, and hand out incoming mail.
- Assist staff with proofreading documents, research, spreadsheets, forms, etc.
- Answer phone calls and deliver messages.
- Order supplies, fill out requisitions and take inventory of supplies, keep spreadsheet updated, request end of month revenue and expense reports.
- Manage work orders for maintenance and repairs.
- Answer questions on departmental services and functions.
- Take meeting minutes, type and distribute to staff.
- Set up travel and training arrangements as requested by staff.
- Maintain office equipment with paper, cartridges, etc.
- Greet and assist people coming to department.
- Keep bulletin board updated, post messages, faxes, posters, job descriptions, etc.
- Prepare presentations, manuals, etc. as requested by staff.
- Do weekly report if working on/or assisting staff with a project.
- Attend weekly department staff meetings.
- Any other duties assigned by supervisor.
