POSITION:               Legal Department Office Manager

HOURS:                    40 hours per week

QUALIFICATIONS AND REQUIREMENTS:

  1. Associate degree in business and/or office management preferred (or related field).
  2. Minimum of three (3) years office management experience in a law office with supervisory responsibilities.
  3. Must have advanced office analytical skills for problem solving and organizing.
  4. Must possess excellent professional telephone and interpersonal communication skills.
  5. Follow proper procedure for telephone answering and accurate message taking.
  6. Knowledge of and familiarity with document storage and retrieval systems.
  7. Must be able to file and organize documents in logical fashion for easy retrieval by others.
  8. Highly proficient computer skills to include word processing, internet use, and electronic data transfer systems and spread sheets.  Specific knowledge of Microsoft Word, Excel, Internet Explorer, and Micro Law preferred, or similar systems.
  9. Knowledge of modern office equipment.
  10. Must possess excellent organizational skills with the ability to plan, organize and prioritize effectively.
  11. Ability to organize calendars and coordinate meeting schedules.
  12. Shall maintain the utmost level of confidentiality.
  13. Well-developed interpersonal skills are required.  Must be tactful, mature, with the ability to develop and maintain effective working relationships with a variety of individuals and groups in a complex, multi-cultural environment.
  14. Must be organized, punctual, flexible, cooperative, accurate, dependable and able to work with minimal amounts of supervision and direction.
  15. Must be able to manage oneself and time efficiently.  Must demonstrate ability in solving problems, making decisions and dealing with people-both individuals and groups.
  16. Must possess quality typing, and ability to draft letters and other correspondence.
  17. Must adhere to the Tribe’s Drug and Alcohol Free Workplace Policy during the course of employment.
  18. Must be bondable and pass a background security check to meet the Employment Eligibility Requirements.
  19. Ability to successfully function in a deadline-oriented environment.
  20. Ability to keep accurate, up-to-date records and files is required.
  21. Must be able to comply with the physical requirements of the job, which include the frequent need to sit or walk, and the occasional need to stand, squat, bend/stoop, reach above shoulder level, crouch, kneel, balance, carry, and lift up to twenty-four (24) pounds.  Must also complete a “Self Disclosing Physical Questionnaire” prior to employment.
  22. Must be willing and able to obtain additional education and training needed/required.
  23. Ability to inform and communicate orally and in writing in diverse and challenging situations with the ability to process information effectively, identify and define problems and make objective decisions required.
  24. Must be able to maintain an updated filing system, both manually and electronically.
  25. Must be able to handle, prioritize and resolve a number of matters and requests at a time.
  26. Reliable transportation and a valid driver’s license.

 

RESPONSIBILITIES:

  1. Shall assume responsibility for the hiring, training, assignment of duties, supervision and evaluation of all other clerical employees.
  2. Must manage day-to-day office functions including the coordination if the Milwaukee and Crandon offices.
  3. Is responsible for processing billing and tracking payments in addition to monitoring the budget with respect to such payments and oversight of the law department staff budget.
  4. Shall be responsible for the preparation of materials for meetings, and the development and delivery of informational materials on behalf of the office.
  5. Responsible for the development of internal office procedures for support staff in conjunction with supervisors’ approval.
  6. Ensure that mail is properly logged in and processed.
  7. Deliver or file appropriately all documents received in the office.
  8. Maintain and organize office files.
  9. Answer telephones promptly and courteously adhering to proper screening and message taking procedures.
  10. Maintain employee calendars and schedule appointments.
  11. Arrange travel schedules, reservations and meetings.
  12. Make copies and prepare correspondence, faxes and other printed material.
  13. Type correspondence, pleadings, and other legal documents.
  14. Fill in fro receptionist as need arises.
  15. Maintain and process Purchase Order/Check Request for the office.
  16. Maintain the confidentiality of information accessed in the course of fulfilling job responsibilities.
  17. Perform general office duties as needed.
  18. Attend training when requested.
  19. Adhere to all Tribal Personnel Policies and Procedures and Departmental Standard Operating Procedures.
  20. Maintain knowledge of all software programs utilized by the Law Office to assist attorneys as needed and requested.
  21. Greet visitors with courtesy and respect.  Cross train with other support staff to assist them when necessary.
  22. Accurately record and report minutes of attorney and other meetings as requested.
  23. Practice excellent customer service skills at all times including, but not limited to addressing all persons’ needs courteously and promptly.
  24. Maintain and monitor legal volumes and ensure legal volumes are up-to-date, which includes updating law books with the latest supplement or replacement copies of books.
  25. Order current issues of State Statutes, United States Code and other materials.
  26. Maintain copies of Governmental minutes, tribal resolutions and codes, regulations, and other laws in an accurate, up-to-date order.
  27. Track correspondence.
  28. Other duties as assigned.
  29. Position is located in Milwaukee but periodic travel to Crandon, Wisconsin is expected.
